What to request from each supplier

Ask for an invoice and packing list with the order reference, precise product descriptions, models, quantities, values and currency. Reconcile supplier and buyer details and trade terms with the order agreement. Keep an editable file and final version so discrepancies can be resolved before dispatch.

Make the package register traceable

Record each package reference, supplier, contents, quantity, gross weight and external dimensions. Unpacked product measurements do not replace final packed measurements. After repacking, the final register should link new package references back to the original orders.

  • Identify weight and dimension units in every file.
  • Flag missing or mismatched packages separately.
  • Keep the approved pre-dispatch version.

Review special documentation before movement

For batteries, liquids, powders, branded goods or special-use products, provide specifications and relevant documents for review before purchase or dispatch. Document types, product classification and any permits need confirmation for the actual goods. This checklist is not an exhaustive customs-document list for every product.

Resolve discrepancies with a correction record

When quantities, variants or package marks differ across the order, invoice and packing list, do not silently replace one value with another. Record the previous value, new observation or evidence, party responsible for correction and approved version. After repacking, update new package references and final measurements in that version, marking the previous version superseded. Correcting one file does not establish complete import documentation or authorise dispatch.

  • Conflicting field and affected order or package reference
  • Previous value, proposed value and supporting record
  • Correction owner, open items and approved final version
