Keep a single order register
For each supplier, record the order reference, expected quantity, goods description, package references and readiness date. Receiving a package is different from confirming its contents and quality.
Set a rule for late orders
Before release, decide whether to wait for all orders or send a partial shipment. Ask the team about storage, packing and the cost implications of split transport.
Approve dispatch using final information
Review the final packing list, agreed photos, weight, dimensions and quotation scope. Resolve missing, damaged or mismatched packages before cargo moves.
Turn the receiving register into a release decision
Record receipt status separately from dispatch approval for each package reference. Received does not itself mean authorised for release, and pending reconciliation does not establish a confirmed shortage. Before release, confirm the register version, packages authorised to leave, items to hold and the next responsible party. This is a suggested record; release still requires agreement for the actual order.
- Package and linked order references; receipt status and confirmation source
- Separate decision: dispatch, hold or await discrepancy clarification
- Register version, approving party and next action
