Each reference identifies something different
For 1688 purchases, keep the supplier’s order reference, China domestic waybill and package mark in separate fields. One order may arrive in several parcels, while one parcel may contain several purchase lines. Obtain and record that relationship from the supplier; matching dates or similar product names are insufficient to allocate a parcel to an order.
Use one row for each order-to-package relationship
Organise the register so each package leads back to its purchase and each purchase shows its associated packages. If part of an order travels under another waybill, add a new row linked to the same order. Keep expected and received quantities separate and date each update.
- Supplier, order reference and product-variant line
- Domestic waybill and identifiable package mark
- Expected quantity, counting unit and source of that information
- Receiving reference, recorded quantity and open discrepancies
Illustrative example: one order, two waybills
Suppose a supplier dispatches order A in cartons marked A-1 and A-2, each with a separate waybill. Link both rows to order A. Receipt of A-1 does not complete the order; A-2 remains outstanding until receipt is recorded. This is hypothetical, rather than a fixed dispatch method for all suppliers or an actual customer shipment.
Allocate several orders within one parcel
If the supplier combines purchases in one parcel, request an allocation of order lines and quantities to that parcel’s mark. Receiving one parcel does not confirm the piece count for each purchase. Where allocation needs carton opening and counting, agree the checking scope with the team and record its result separately from package receipt.
Record a replacement without counting it twice
Link a supplementary or replacement parcel to the original discrepancy and record the quantity it is intended to cover. A new waybill is not a new purchase unless a new order exists. If the original parcel arrives later, record both receipts and confirm what should happen to the extra stock. Keep completion pending until that discrepancy is resolved.
Share a register the team can reconcile
For a receiving or consolidation review with PersiaCargo, send the latest register, supplier dispatch details and package-mark photos where available. Flag unmatched items and add the team’s confirmed receiving references back into the register. A China domestic tracking reference relates to that stage; it does not by itself establish the status of the later shipment to Iran.
