Documents should match the actual goods
Obtain a commercial invoice and packing list from the supplier, and reconcile descriptions, quantities, values and weights with the order. Required documents and permits depend on the goods and current origin and destination requirements.
Assign responsibilities before dispatch
Identify the importer, customs representative and party responsible for destination costs. Document coordination alone does not establish importer-of-record responsibility, guaranteed clearance or duty payment.
Goods requiring individual review
Declare batteries, chemicals, communications equipment, special-use items, health products and branded goods before purchase. Order acceptance and routing are subject to individual review of goods, transaction parties and applicable requirements.
Questions before you approve the service
Does a freight offer include clearance, duties and delivery to my address?
Do not infer these inclusions from the transport mode. For the actual shipment, confirm service start and end points, origin and destination charges, document responsibilities, the importer and the party paying duties. Delivery to Anzali Free Trade Zone differs from delivery to another address; other cities and address delivery require separate confirmation.
What needs reconfirming after repacking?
Update package counts, marks, gross weights and final external dimensions, retaining links from new packages to original orders and packages. Use the same final version for the packing list and quotation details. Before release, confirm who updates the documents and how changed weight or volume affects the offer. Retain the previous version as superseded.
Does document coordination include importer-of-record responsibility?
Document coordination alone does not establish importer-of-record responsibility, duty payment or guaranteed clearance. Before dispatch, identify the importer, customs representative, the party preparing or correcting each document and the party paying destination costs. Required documents and permits need goods- and transaction-specific review; an invoice and packing list alone do not establish that all import requirements are met.
