What should you approve before a bulk order?
A sample can help you review appearance, dimensions and agreed functions. For the bulk order, write down which characteristics must match it and which variations are acceptable. A shop link and listing photos alone do not create that reference. If the product requires specialist testing, agree the method and the party responsible separately.
Create a specification row for each variant
For each variant, record its link, supplier reference, model, material, colour, dimensions, quantity and packing. Keep the approved order version if the supplier changes the listing. Approve substitutions and model changes before purchase. “Similar to the sample” is too vague to define acceptable differences.
- Essential characteristics and how each will be checked
- Reference-sample details and labelled photos
- Quantity per variant and price for that quantity
- Ready date and bulk-packing requirements
Record sample approval and shipment checks separately
Approval based on one sample applies to that sample and the checks performed on it. For the bulk shipment, separately agree carton opening, counting, variant checks or testing. Define how many items will be checked and what the report will contain before work begins. Exterior carton photos cannot establish the contents of every carton or the quality of an entire production run.
Illustrative example: two colours and a substitution
Suppose an order contains two colours of one model and the supplier proposes a substitute for one colour. Before payment or release, record the substitute’s reference, photos, quantity, price difference and effect on readiness. You might accept the change, reduce the quantity or wait for the original option. This illustrates a decision process, not an actual customer order.
What should you send PersiaCargo for a purchasing review?
Send the product link, specification brief, sample status, quantities per variant and destination city in Iran. State who holds the sample and what has been checked. Disclose batteries, liquids and other special characteristics before buying. Purchasing availability, inspection scope and transport acceptance require confirmation for the actual goods; sample approval does not establish transport or import eligibility.
